The essentials
- Use your own approved account and give truthful name and profile information.
- The school manages content, teaching and grades; the provider remains responsible for its own IT and data obligations.
- Restrictions should be proportionate and reviewed by a person. You can appeal through your school within 30 days.
- Parents register separately. No account rule removes mandatory legal rights.
The service and its provider
ISP Library is provided by Petra Kevic SIA as an IT service for school-managed access to digital learning tools. Our registered address is the registered address in the school service agreement. Contact: info@isplibrary.com. The school agreement identifies the contracting parties and the provider’s registered details.
We provide the technology for permitted books, questions, resources, assignments, exams and communications. The school and its authorised contributors make educational decisions and select, upload or link the learning content. ISP Library is an independent technology service and programme names do not imply endorsement by the International Baccalaureate.
These account rules supplement the applicable school service agreement. They do not replace that agreement, mandatory law, the school’s educational responsibilities or the rights of pupils and parents.
Approval, roles and separate accounts
Give truthful registration details and select the correct school and role. New accounts require school approval and the required profile setup. Roles, programmes, class membership and restricted tools are managed by authorised administrators; they are not granted merely because a user requests them. The primary administrator controls access to Courses and Exams.
Use one authorised account for your own identity unless the school has expressly approved another arrangement. Do not impersonate another person, share an account, obtain another user’s session or register under someone else’s school identity.
Parents must register separately under their own name and choose the appropriate Parent role. A parent must not sign in as the child. School approval does not automatically give a parent access to the child’s messages, responses or grades. The school verifies parental authority and handles any lawful access request.
Correct names and a recognisable photo
Enter your real given name and surname using their official spelling and diacritics. The normal display convention is an initial capital letter followed by lower-case letters in each name component, for example Anna Bērziņa. Legitimate official capitalisation, compound names, name particles, scripts without letter case and school-approved corrections are exceptions. Do not change the spelling of a person’s real name merely to satisfy a typography convention.
Provide a clear, current photograph of yourself for the profile where the school lawfully requires it. The face should be recognisable and the crop appropriate. Do not use another person’s photograph, a fabricated identity image or misleading edited content to impersonate someone.
If the requirement creates a documented privacy, safeguarding, accessibility or other justified issue, ask the school for an approved alternative before uploading. The school must assess necessity and proportionality. An approved exception is not a false photograph.
Accidental errors or unclear photos may be sent back for correction. Deliberate false details, impersonation or refusal to correct a materially misleading profile may lead to suspension or a ban after appropriate human review. This policy does not automatically ban existing users or use facial recognition to decide whether a photo is genuine.
Passwords and account security
Keep account passwords, recovery information, temporary passwords and exam access or exit codes confidential. Do not transfer credentials to third parties or use another person’s credentials. Use your own parent or staff account where that is your role.
We are responsible for our own security measures and the lawful handling of personal data and password records. Users are responsible, to the extent permitted by law, for a disclosure of their own credentials and misuse they authorise. We do not exclude liability for our own negligence or data-protection failures merely because someone shared a password.
Tell the school promptly if you suspect compromise. Administrators may revoke sessions, restrict the account or require a password change. Authorised temporary-password recovery requires a new personal password before ordinary access.
Conduct expected from the community
Students, parents, teachers and administrators are responsible for their own actions on the platform. Parents and guardians should provide age-appropriate guidance and supervision where applicable; these rules do not impose liability beyond what the law permits.
- Communicate respectfully. Do not bully, harass, threaten, discriminate against or impersonate anyone.
- Use private messages and learning tools for their authorised school purposes.
- Do not disclose another person’s private messages, account information, responses, grades or photographs without a lawful reason and appropriate permission.
- Do not upload illegal, abusive, dangerous or privacy-infringing content, malware or files intended to compromise the service.
- Do not send spam, automate abusive requests, scrape protected content or disrupt other users’ access.
- Respect copyright, licences and the school’s permitted use of educational material.
Staff and administrators must use their privileges only for assigned responsibilities, protect confidentiality and avoid granting unnecessary access. A role does not authorise arbitrary inspection of pupil information.
Fair assessments and permitted device use
Follow the teacher’s exam instructions, opening time, duration and permitted resources. Do not obtain or distribute restricted answers, impersonate a candidate, falsify submissions, interfere with timing or bypass the access controls for an application-only exam.
An ordinary browser exam does not inspect unrelated windows or tabs. An exam requiring Safe Exam Browser uses a separate application with its configured device restrictions and client checks. The school must explain requirements and appropriate arrangements in advance. The technology provider does not guarantee that every device manipulation or virtual-machine bypass can be detected.
Do not tamper with secure-exam configurations, client proofs or entry/exit mechanisms. Opening the wrong browser by mistake is not, by itself, proof of deliberate cheating. Teachers make educational and marking decisions; technical account restrictions do not automatically determine a pupil’s grade.
Submitted responses and review history should be preserved where needed for legitimate school review, including during a restriction or appeal, subject to the applicable retention rules.
Learning materials, copyright and complaints
The school, uploaders and authorised contributors are responsible for having the rights, permissions and lawful basis needed to upload, link, share and use their books, questions, images, recordings and other materials. The school is responsible for content suitability, educational accuracy, exam selection, teaching decisions and grades.
Petra Kevic SIA supplies the IT tools. We do not become the author, publisher or educational approver of a material merely because it is stored, displayed or processed on the platform. We do not warrant the accuracy, completeness or suitability of school-supplied educational content.
This allocation of responsibility is subject to applicable law. It does not excuse the provider from mandatory obligations concerning illegal content, valid notices, court orders, its own wrongdoing or the security and personal data it processes.
For a content or copyright concern, contact the school administrator and identify the relevant book, question or file and the reason for your concern. You may also contact info@isplibrary.com. Avoid sharing an entire protected work or unnecessary pupil data in the report. Appropriate access restriction, investigation, correction or removal may follow; submitting a notice does not automatically establish that the allegation is correct.
Warnings, suspensions and bans
The school or authorised provider personnel may restrict an account where there is a justified need to protect users, data, the service or exam integrity. Grounds can include deliberate false identity or photographs; impersonation; credential theft or sharing; serious or repeated harassment; unlawful content; malware; unauthorised extraction of personal data; abuse of access grants; disruption; and intentional circumvention or tampering with security or exams.
A response should be proportionate to the conduct, evidence, seriousness, repetition and risk, with special care for children. It may be a correction request, warning, limited feature restriction, temporary suspension or ban. Minor mistakes should normally be corrected rather than treated as intentional deception. Good-faith reporting of a problem is not misconduct. Security testing requires written authorisation and an agreed scope.
Urgent temporary restriction may be used to contain a credible security or safeguarding risk before review. Where lawful and safe, the affected person should receive the reason, scope, relevant duration and how to appeal. Information may be limited where disclosure would endanger another person, an investigation or a security control.
Restrictions require appropriate human review; there is no new automatic photo-ban or name-case-ban system under these rules. A restriction must not be used to avoid a data-rights request or statutory obligation. The school remains responsible for appropriate alternative access to education and records where necessary.
Appeal within 30 days
You may appeal an account restriction within 30 calendar days of being notified. A student, parent or guardian should contact the school administrator, state the account involved, identify the decision and provide relevant reasons or evidence. Do not send passwords or unnecessary sensitive information.
The school administrator reviews the school decision and forwards unresolved provider or technical aspects to Petra Kevic SIA using the contact details in the school agreement. A person suitably independent of the initial decision should review the relevant facts and give a reasoned outcome through the school where appropriate.
Possible outcomes include keeping, narrowing, lifting or replacing the restriction, correcting records or specifying steps for safe restoration. Necessary temporary security measures may remain during review. Keep relevant educational and decision records where lawfully needed to resolve the appeal.
This internal 30-day appeal route does not remove or shorten data-protection complaints, statutory remedies, access to competent authorities or other rights that exist independently under law. Inability to reach the school does not prevent you from raising a provider or data-protection issue at info@isplibrary.com.
Personal data and closing an account
The Privacy Policy describes account data, photographs, learning records, messages, authentication, external providers and your rights. A registration acknowledgement is not blanket consent to unrelated processing.
Request account closure or erasure through your school or the provider. Under the confirmed school-service retention arrangement, data in the verified account-erasure scope are to be deleted or irreversibly anonymised within one calendar month, unless a documented lawful exception applies. The school must identify any separate lawful educational-record retention and explain it to the requester.
Suspending or archiving an account restricts access and can preserve school history; it is not itself permanent erasure. Account deletion, educational-record retention, recovery copies and incident or legal records must be handled under their applicable purposes and instructions. Do not rely on clearing a browser or signing out as an erasure request.
Availability and legal responsibility
We aim to operate a reliable service, but maintenance, provider outages, connectivity, device incompatibility or other incidents may affect access. The school should provide appropriate arrangements where a technical issue affects an assessment or access to education.
The school agreement allocates the parties’ service responsibilities. These account rules do not waive liability that cannot lawfully be excluded, including applicable personal-data duties, liability for the provider’s own conduct, or mandatory consumer and child protections. They do not promise an incident-free system or shift every risk to users.
Third-party readers, sign-in providers and the secure-exam application have their own functionality and terms. Use is subject to the school’s lawful arrangements and the relevant provider terms; an external-provider disclaimer does not remove our own statutory obligations.
Existing accounts and changes to the rules
Version 2026-10-12 is published on 12 October 2026. New self-registering users affirm the current Terms and acknowledge the Privacy Policy using separate, initially unchecked registration choices. Required parent, guardian or school authorisation must have been arranged where applicable.
Existing school-managed accounts operate under the applicable school agreement and rules validly communicated under it. The school is responsible for distributing updates to its community through the agreed route. We do not manufacture retrospective checkbox records or presume that a school contract supplies every legally required consent.
Material changes must be communicated clearly and in advance where required by the agreement or law. Urgent changes needed for security or legal compliance may take effect sooner, with appropriate notice. Additional consent must be sought where the particular processing requires it. A clause about future updates does not override mandatory rights, including applicable rights concerning changes to digital services.
Latvian law applies as relevant to the service and school agreement, together with applicable EU law and mandatory protections in the competent jurisdiction. Nothing requires a consumer to surrender mandatory rights or remedies available under the law of their habitual residence.
